How to Plan a Business Software Integration
Define a useful data flow, ownership and failure handling before connecting two systems.
Start with a business need
An integration is a connection between systems. The first question is not which API to use, but which task or decision needs information from another tool.
Draw a small data map
Write down the source, the destination and the minimum information required. Identify who owns both systems and how consent and permissions apply.
- Which event should start the exchange?
- What fields are genuinely needed?
- Which system is the source of truth?
- What happens if a record already exists?
- How will failures be noticed and retried?
Example: a form and a CRM
A website enquiry might create a CRM lead only after required fields are validated. A team member can review unclear submissions before a follow-up. Actual implementation depends on the available connection and configuration.
Check availability
An integration listing does not mean an instant native connection. Confirm connection status, authentication, supported actions, costs and maintenance needs with the implementation team.
